JOB TITLE:                       Chair

 

 

SKILLS REQUIRED:

 

á          Ability to motivate and manage volunteers

á          Ability to run committee meetings effectively

MAIN DUTIES:

 

1)         Chair is responsible for the overall running of the club

2)         Chair should manage the AGM and all committee meetings

3)         Chair should ensure other committee members are carrying out their roles effectively

4)         Chair should ensure that a representative of the club is present at appropriate external meetings

5)         Chair is responsible (with the other committee members) for ensuring the club complies with all relevant legal requirements

6)         Chair will be a signatory on bank account

JOB DESCRIPTION: TREASURER

 

 

JOB TITLE:                       Treasurer

 

 

SKILLS REQUIRED:

 

á          Good organisation and administration skills

á          Numerate and capable of managing financial information (not necessarily an accountant)

á          Good time management skills

 

 

MAIN DUTIES:

 

Treasurer  is responsible for the financial accounting of the club

Treasurer is responsible for ensuring all accounts and primary records are maintained, specifically all receipts and payments must be properly recorded

Treasurer must report regularly to the committee on the financial state of the club and to the members at the AGM

Treasurer must liaise with the Membership Secretary to ensure that fee collection is properly recorded

Treasurer will be a signatory to the bank account and will ensure regular bank reconciliations are completed

Treasurer is responsible (with the Chair and other committee members) for ensuring the club complies with all relevant legal requirements

Treasurer is responsible for paying coaches and other paid staff and for dealing with all invoices

MAIN DUTIES:

 

Secretary is responsible for organising committee meetings and the AGM, including booking rooms, notifying members and liaising with Chair to prepare the agenda

Secretary takes and distributes minutes of meetings

Secretary is responsible for ensuring that correspondence sent to the club is dealt with appropriately

JOB TITLE:                       Membership Secretary

MAIN DUTIES:

 

Collect details  (names, addresses, d.o.b. etc.) of all club members and record on membership database

Issue membership cards to members

Liaise with Squad reps. to ensure attendance registers are kept

Register all members with the ASA and ensure that ASA subscriptions are paid

Liaise with Squad reps. to ensure all fees are collected

Keep accurate record of fees collected and copy this to Treasurer

Pay fees collected into bank

JOB TITLE:                       Team Manager/Coaching Co-ordinator

 

 

SKILLS REQUIRED:

MAIN DUTIES:

 

Assess new members for allocation to appropriate teaching group

Recruit, supervise and support all coaches

Negotiate with pools to get appropriate pool time, and then allocate to relevant group(s) of swimmers

Supervise and motivate swimmers during galas

Liaise with Competition Secretary to select teams for galas

Liaise with Competition Secretary to choose an appropriate gala programme

Liaise with other NE London clubs on swimming matters

JOB DESCRIPTION: COMPETITION SECRETARY

 

 

JOB TITLE:                       Competition Secretary

 

SKILLS REQUIRED:

 

á          Good administration and organisation skills

MAIN DUTIES:

 

Responsible for planning which galas the club will enter up to 12 months in advance (in conjunction with the Team Manager, coaches and committee as appropriate) and producing a fixture list

Issue fixture list to all Committee members, coaches and swimmers and post on the website and notice boards

Liaise with Team Manager to select teams for galas

Facilitate transport to galas, via either car sharing or hiring a mini-bus

Maintain list of swimmersÕ PBs and of times achieved in galas. Inform swimmers of their times

Take responsibility for organising all galas hosted by Clissold Swimming Club (both intra- and inter-club galas). This will include:

Organising a team of officials and helpers

Issuing invitations (for inter-club galas), maintaining list of attendees and returning acceptance slips to other clubs

Ordering awards (medals, ribbons etc.)

To promote and publicise all aspects of the club

Be responsible for actively recruiting new members (including through liaison with local schools, leisure centres etc.)

Publicise the success of the club in the press

1.         Work with other campaigning groups to fight for better swimming facilities in Hackney

2.         Liaise with Hackney Council & Leisure Connection to get better pool time/ facilities/ prices etc.

3.         Identify and implement fund raising initiatives, including applying for relevant grants/ sponsorship

MAIN DUTIES:

 

1.         To order appropriate merchandise from outside suppliers

2.         Sell merchandise to club members and keep accurate records of money collected

3.         Pass copy of financial records to Treasurer and bank money collected

4.         Be responsible for organising loan of equipment to club members and for keeping accurate records of equipment loaned out

1.         To improve the website to make it more easily navigable and user friendly

2.         To keep the website up to date, ensuring that information is posted in a way which is easy for users to access

3.         Ensure information is posted promptly e.g. club newsletters, fixture list, gala results, session times, squad lists, contact details of committee members etc.

MAIN DUTIES:

 

1.         To be the main point of contact for swimmers and parents in your squad or squads

2.         To keep attendance registers on a regular basis and pass completed registers to Membership Secretary

3.         To welcome new members to the squad, ensure they complete registration form and other necessary documentation and pass completed forms to Membership Secretary

4.         Collect fees from any members of your squad who are not paying by standing order, pass record of fees collected and the money collected to Membership Secretary

5.         Ensure that newsletters and any other written information is distributed to all members of your squad

6.         Be available to answer queries and provide information to members of your squad
